OMPEA (hereinafter referred to as “the Association”) recognizes the importance of carefully and appropriately protecting information that can identify an individual and specific identifiers (hereinafter collectively referred to as “personal information”). This includes, but is not limited to, names, contact information, demographic data, and identification information obtained through administrative or educational processes.
The Association is committed to the protection, management, operation, and use of personal information based on the following privacy policy.
2. Compliance with Laws and Regulations
The Association complies with all applicable laws, regulations, and government-issued guidelines regarding the handling of personal information in Japan and other regions where the Association operates.
3. Appropriate Management System and Supervision
The Association appoints a privacy officer to oversee information management and implements safety measures and corrective actions to prevent unauthorized use, loss, damage, alteration, or leakage of personal information.
In addition, the Association conducts regular training and guidance on the proper handling of personal information for all staff and related parties who work with the Association.
4. Collection Purpose and Scope
The Association clearly defines the purpose of collecting personal information and limits the collection to the extent necessary to achieve that purpose. The main purposes are as follows:
- Membership registration
- Event participation
- Access to educational resources
- Research cooperation
Administrative procedures (e.g., visa, certification, school enrollment support)
5. Use of Personal Information
The Association uses personal information only within the scope of the defined purpose, unless prior consent is obtained or required by law. Secondary use will be subject to renewed consent or legal review.
6. Disclosure and Provision to Third Parties
The Association does not buy or sell personal information. When it is necessary to provide personal information to external organizations, it will be provided only to the extent necessary to achieve the purpose of use based on the individual’s consent, and it will be ensured that the provider complies with strict data protection standards.
7. Confidentiality and Data Management
The Association protects the confidentiality of personal information and manages it appropriately. Access is limited to authorized personnel and stored securely using technical and organizational security measures.
8. Continuous Improvement of Data Protection System
The Association maintains internal rules and systems and continuously improves the data protection framework. This includes regular policy reviews and updates to address changes in legal and technical standards.
9. Inquiries and Complaint Handling
The Association has established a dedicated contact point to respond sincerely to inquiries, complaints, and requests regarding personal information. We will respond reasonably to requests for disclosure, correction, deletion, or suspension of use of acquired personal information.
